Request Data Deletion Or Account Closure
You can request deletion, correction, deactivation, or closure of your NDIS Shift Notes account by emailing hello@architectia.com.au.
Please include:
- your full name;
- your registered email address;
- your organisation or provider name;
- whether you want account closure, data deletion, correction, or another privacy action; and
- any relevant context that helps us identify the account.
Sensitive Request Warning
Do not include participant notes, NDIS numbers, incident details, risk notes, audio recordings, health information, or other support information in ordinary email deletion requests unless specifically requested through a secure process.
What Happens Next
We aim to respond within 30 days. We may need to verify your identity, role, organisation, and authority before deleting or changing records.
If a request relates to provider documentation, we may need to confirm the appropriate authority or retention requirements before taking action.
Data That May Be Deleted, Corrected, Or Deactivated
Depending on your role, organisation, and applicable requirements, a request may include:
- user account deactivation;
- authentication or session cleanup;
- removal or correction of account profile details;
- deletion or de-identification of information not required for retention; and
- deletion of recordings or other stored files where retention is no longer required.
What Deletion May Not Cover
Information may remain in backups for a limited period. Some records may be retained for legal, audit, provider documentation, security, dispute, or compliance reasons.
Firebase, cloud, transcription, AI, support, and diagnostic providers may have their own processing and deletion timeframes.
Data That May Be Retained
Some data may be retained if required for:
- support documentation records;
- legal or regulatory obligations;
- provider audit requirements;
- security logs;
- fraud, misuse, or account integrity investigation;
- dispute resolution;
- compliance reasons; and
- backup retention windows.
