1. Acceptance
By accessing or using NDIS Shift Notes, you agree to these Terms of Use. If you do not agree, do not use the app.
If you use the app on behalf of an organisation, you confirm that you are authorised to use the app for that organisation's support documentation workflow.
2. Purpose Of The App
NDIS Shift Notes helps authorised users capture shift notes, create transcripts, and prepare structured reports for review.
The app supports documentation workflows. It does not replace professional judgement, supervision, provider policies, safeguarding duties, legal advice, clinical advice, compliance review, or required incident procedures.
3. AI-Assisted Reports
AI-assisted or automated report generation may be used to help prepare structured report drafts. Reports are drafts for worker or provider review.
Users remain responsible for the final content. Users must review, edit, and approve generated reports before relying on, exporting, or sharing them.
AI must not be treated as a clinical, legal, compliance, safeguarding, or NDIS decision-maker.
4. Authorised Use
You may use the app only if you are authorised by your organisation or provider to access and record relevant support information.
You must:
- provide accurate account information;
- keep login details and devices secure;
- use the app only for lawful and authorised purposes;
- follow your organisation's policies and consent processes;
- avoid entering information you are not authorised to collect, record, process, upload, review, export, or share;
- avoid entering unnecessary participant identifiers or sensitive information where a less identifying description is sufficient;
- review generated reports before relying on, approving, exporting, or sharing them; and
- notify your organisation or our support contact if you believe your account has been compromised.
5. User Content
User content may include notes, recordings, transcripts, reports, participant context, and feedback. You are responsible for ensuring that content entered, recorded, uploaded, approved, exported, or shared through the app is accurate, appropriate, lawful, and authorised.
Generated reports may contain errors, omissions, or unsuitable wording. Users must review and correct generated content before approval, export, or sharing.
6. Voice Recording
You are responsible for ensuring that voice recording is lawful and appropriate in your context. You must ensure you have consent, authority, or another lawful basis before recording.
Do not record people secretly. Do not record conversations, participant information, staff information, or other sensitive information unless you have the required authority, consent, or lawful basis.
You must not upload sensitive information you are not authorised to process.
7. Account Security
You are responsible for maintaining the confidentiality of your account and device. We may suspend or restrict access if we believe account security, participant information, service integrity, or legal compliance is at risk.
8. Availability
We aim to provide a reliable service, but the app may be unavailable due to maintenance, network issues, third-party service issues, cloud service interruption, or other causes.
The app depends on third-party cloud, authentication, backend hosting, database, transcription, and AI services. These services may be unavailable, delayed, changed, or processed outside Australia.
9. Acceptable Use
You must not:
- access data you are not authorised to access;
- attempt to bypass security controls;
- misuse authentication or API access;
- upload unlawful, harmful, misleading, or unauthorised content;
- interfere with the service or another user's access;
- reverse engineer the app except where allowed by law;
- use the app to harass, discriminate, exploit, or harm others; or
- use the app for advertising tracking, spam, scraping, or unauthorised data extraction.
10. Privacy
Our Privacy Policy explains how information is collected, used, stored, processed, and shared.
11. Intellectual Property
The app, software, design, branding, and related materials are owned by Architectia or licensed to Architectia. You retain responsibility for content you enter, subject to your organisation's policies and applicable law.
12. App Store Terms
If you download NDIS Shift Notes from the Apple App Store, Apple's standard Licensed Application End User License Agreement applies unless a custom end-user licence agreement is provided in App Store Connect. Apple is not responsible for providing support or maintenance for the app.
13. Disclaimers
The app is provided on an "as is" and "as available" basis to the maximum extent permitted by law. We do not guarantee that generated reports will be complete, accurate, compliant, accepted by a provider, accepted by a regulator, or suitable for every purpose.
Users must review and verify all generated documentation.
14. Limitation Of Liability
To the maximum extent permitted by law, Architectia is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of the app.
Nothing in these Terms excludes, restricts, or modifies rights that cannot be excluded under applicable consumer, privacy, health, disability, or other laws.
15. Suspension Or Termination
Access may be suspended, restricted, or terminated if:
- account security is at risk;
- use violates these Terms;
- required authorisation no longer exists;
- required by law, provider policy, or organisational policy; or
- continued access could put participant information, service integrity, or another person at risk.
16. Changes To These Terms
We may update these Terms of Use from time to time. The updated version will be posted at the Terms URL with a new effective date.

These Terms are governed by the laws of Queensland, Australia.
